Shadow Creek Tsunamis Swim Team Volunteer Assignments

We prefer that volunteers do the same job all season

Following are description of the volunteer positions required at swim meets (not a complete list of volunteer positions):

Tent Parent 

Writes swimmers # and events on them before the meet begins. Supervises the tent area for a particular age group during meets, keeps track of swimmers - as best as they reasonably can - between events, and gets swimmers to the ready bench on time with caps and goggles. For most age groups, several parents will share this job. This position is obviously more important for the younger swimmers. Tent parents should be able to work the entire meet. This position requires a current background check.

Heat Benches

Places swimmers for each event in order on ready benches as listed on heating sheets. Works with Tent Parent to ensure swimmers are in the correct place and in time to swim.

Awards/Ribbons*

Hand ribbons out to swimmers as they finish each event.  Assigned to work for one half of home meets.

Runner*

Responsible for obtaining the completed event tickets from timers and delivering to the scoring table. The job title is very descriptive. Assigned to work for one half of the meet. This job keeps you moving around at the poolside and the time passes quickly.

Scorekeepers/Data Entry

Scorekeepers tally & record results of races. With this job, you see the race results before anyone else. Assigned to work for one half of the meet.

  • Computer - Responsible for entering data from time cards and verifying data entered.
  • Sorter - Sorts time sheets from runner, separating by team and age/event. Passes slips to recorder.
  • Recorder - Compares event time sheets to find finishing place of swimmers.

Stroke Judge

Stroke judge monitors swimmers to ensure each stroke is being performed correctly, including turns and finishes. They also monitor for false starts on relays. Assigned to work for one half of the meet. Training is required for this position.

Additional Stroke Judges are needed during relays to monitor exchanges of swimmers. Relay Stroke Judges are assigned for an entire meet, but work only the relays at the beginning and end of the meet.

Timer*

Records the swimmer’s time. Each timer is provided a stopwatch and assigned a lane; there are three timers for each lane and one scribe/back-up timer. All three times are recorded and the middle time becomes the official time. Timers are assigned to work for one half of the meet. This job gives you the best view of the pool and the swimmers during their races.

Scribes record information about each race on a sheet, which is taken to the scoring table by the runner. They act as a back-up timer if a mistake is made by one of the other three timers.

Meet Setup and Clean up*

Assigned for either set up or clean up. Setup - must arrive early and set up flags, ropes, chairs, benches, tents, age group signs on tents. Responsible for trash and restroom supply help during the first half of meet.

Clean up - Stay until end of meet to help tear down and clean up. Also responsible for trash and restroom supply help during second half of meet.

Swimtopia App Event Tracker

Responsible for updating events / heats in the Swimtopia app during the meet. Will need to provide your own mobile device.

Swimmer / Volunteer Check-In*

Checks in volunteers and swimmers. Must arrive early to check in set up volunteers.
